About the role

The Executive Assistant will partner directly with the CEO of Quartermaster AI, managing calendar, travel, communications and building systems to bring order to a high‑growth, ambiguous environment, acting as a trusted gatekeeper and key operational asset.

Quartermaster AI is a fast‑growing tech/AI startup backed by venture capital, scaling rapidly through Series B and beyond.

Requirements

  • 7+ years experience as an Executive Assistant supporting a C‑level executive, preferably a CEO or founder, at a Series B or later venture‑backed startup.
  • Proven track record thriving in high‑growth, high‑ambiguity environments, including scaling, fundraising, and organizational change.
  • Exceptional judgment and discretion handling highly confidential information.
  • Elite organizational skills; ability to build systems and processes from scratch.
  • Calm under pressure; able to find signal in noisy, last‑minute changes.
  • Excellent written and verbal communication, representing the CEO’s voice professionally.
  • Bias toward action and ownership; solves problems rather than escalates them.
  • Willingness to work long or unpredictable hours and be available outside standard business hours when urgency requires it.
  • Tech‑savvy across calendar, travel, communication, and productivity tools (e.g., Google Workspace, Slack, Notion, expense platforms) and quick to adopt new tools.
  • Nice to have: experience supporting a CEO through a board cycle, fundraise, or major milestone such as Series C, IPO prep, or acquisition.
  • Nice to have: background in a fast‑paced tech or AI company.
  • Nice to have: experience managing a small team of support staff or coordinating with other executive assistants.
